Onboarding Process
Outlines guidelines to ensure transparency and fairness between employees and vendors
One Day Before the First Working Day
The HR department sends a “Welcome Onboard” email with attached contact numbers. You can call the reception or the HR department if you need assistance with directions to the office or if there are any changes to the meeting schedule.
First Working Day
– Meet with the HR Department.
– The HR department provides basic company information and benefits.
– Candidates review the employment contract and confidentiality agreement, verify information, and sign the confirmation.
– The HR department addresses any candidate questions (if any).
– New employees submit their employee files, including:
Curriculum vitae with local certification or notarized office
Health examination certificate with medical facility certification
Copy of ID card
HR department will give the employee: the employee card and the parking card (depending on each offices)
– Setting up email and company accounts: The HR department will send Mattermost and Gear Inc. email account details to the employee.
– Office Tour: Visit various areas within the office, get introduced to each department and their roles, common areas, and essential company information.
– The HR department introduces the IT team to the employee who assists the employee in setting up fingerprint and facial recognition for access through the electronic door.
– Meet Direct Supervisor and Colleagues: Get acquainted with the direct supervisor and colleagues with some pre-prepared snacks and treats.
– After the employee’s Mattermost account is done, the HR department will add the employee account to some general channels:
Announce-All-VI: Official Announcement channel where all the policies and processes will be announced by the BO team here. You can reply in the thread to ask for more information, but can’t post anything here.
Chatting-All-VI: Chatting Group for all Vietnam staff. You can ask anything related to work-life at Gear Inc.
Announce and Chatting Group of your office (VTCO, Tower 1, Vinh Trung): Same rules as above but only used for stuff that happened in your office.
Women Only (for female staff): This is a private group for female staff to discuss any sensitive things.
And other groups related to your work.
Please note that all the announcements and policies will be posted on Announce groups, so please follow and stay updated there.
– Introduction on Company-Wide Channels: The HR department will post a welcome message for the new member on Mattermost channels.
